Space 4 Art’s mission is to establish a dynamic creative center where artists live, work, mentor youth, and interact with the community in an innovative and educational environment. Space 4 Art is bottom up, grassroots, and artist-driven. We seek a Manager of Operations to create systems that will lead our programs forward as we secure our mission, expand our programs, and grow our ideas through the building of a permanent home on Market Street. The Manager of Operations and Administration reports to the Executive Director and is an integral member of the small S4A staff. This position is at the core of all programs. General duties include property management, financial management, event planning, fundraising support, execution and management of all operational functions, marketing and PR support, executive support, and other duties as required. This is a Full Time Salaried Non-Exempt position.
 
Opportunity Description
Property Management: Oversee lease compliance, monthly rent and fee collection, property maintenance issues, and all incoming and outgoing rental paperwork for 20 work/live and work only studios Financial Management: Works with bookkeeper to oversee all accounts payables and receivables, prepare deposits, generate reports, ensure vendors are paid in a timely manner, and manage all financial data and reconcile each month Event Management: Produce open studio and other events (up to 4 per year) including all logistics such as volunteer management, securing vendors as needed, publicity, and more Day to Day Operations: Oversee all office operations Work with vendors regarding pricing and contracting of services and supplies Oversee contractors Manage inventory for office supplies and shared spaces Oversee all IT needs, installations, ordering, set-up, compliance and security Fundraising: In concert with the Executive Director, identify, research, write and administer grants; create and manage the grant calendar and ensuring timely grant reporting. Identify opportunities for program capacity building and expansion of arts programming to meet the changing needs of the center. Oversee and manage individual gifts, donor data and donor recognition ensuring compliance with fundraising best practices and IRS laws Marketing and PR Support: Manage social media and update website as needed Institute regular communications to internal and external audiences via enewsletters or similar channels Executive Support: Complete executive assistant duties for Founder and Executive Director. This includes scheduling meetings, checking and responding to email, taking notes, updating documents, etc. Knowledge and Skills Required Demonstrated ability to effectively anticipate, diagnose and resolve complex problems pertaining to business operations, organization development, customer satisfaction, and change management. Experience with bookkeeping and accounting functions Excellent organizational and leadership abilities Proven experience as a Manager of Operations or equivalent Outstanding written and verbal communication Analytical skills to evaluate data and make operational decisions Skill in developing, implementing, and administering work processes Knowledge of industry’s federal and state regulatory guidelines In depth knowledge of diverse business functions and principles, such as supplies, finance, and customer service Demonstrated experience with G Suite (and Google Drive workflow), Quickbooks Online, Squarespace Must be organized and detail-oriented Strong initiative and planning skills Qualifications Bachelor's Degree in business, art or marketing or other related major or equivalent relevant work experience Outstanding interpersonal skills, creativity, pragmatism, energy, and patience 3 years leadership experience at a non-profit or other business environment is required.
